Terms and Conditions
By paying a deposit and completing your booking form with ‘Eleglance Images’ it is understood that the client has read and fully agreed to all of our Terms and Conditions.
Payment A non-refundable deposit is required when booking any package with Eleglance Images. The deposit amount is £350 for photography or videography packages or £450 for dual photography and videography packages, unless agreed otherwise. This deposit is due on the signing of the booking form or completion of an email booking questionnaire. The moment that the deposit is paid your date will be reserved and secured. The remaining balance can be paid in as may instalments as you wish but is due, in full, no later than 28 days before the date of your wedding or event. No photography or videography will be fulfilled without payment in full before the date of your wedding or event. Any and all further payments made will form part of your booking fee and are also non-refundable. Bank transfer is the preferred method of payment, cash is the only other accepted method.
Preparations We require your full days itinerary and your formal photos list as soon as possible and no later than 14 days before your wedding date in order to plan accordingly.
Full day wedding coverage packages will guarantee our attendance until either the end of your first dance or 8pm. It is important to photographers, and we’re extremely grateful if the first dance is conducted as long before 8pm as possible. This is due to a high chance of us having another wedding or important event booking the following day. If you have planned to have your first dance after 8pm, or have a feature planned after this time which you would like us to capture for example fireworks it must be agreed with us prior to the wedding date and will likely incur a fee of £95.00 per hour for every additional hour after 8pm. If this fee is applied ‘Eleglance Images’ verbally inform you of this and include it clearly on any invoice. Any agreed fees must be paid in full no later than 28 days before the date of your wedding or event.
Display & Copyright Permission is hereby given by the client for ‘Eleglance Images’ to provide Photography and / or Videography coverage of both you and all your guests on your wedding day. All images and footage captured will remain the copyright of ‘Eleglance Images’ and may be used for any suitable means which may include, but is not limited to, advertising and promotional material on social media, at wedding fairs and the entering of competitions.
Travel
50 daily travel miles are included free from & back again to my home in Bangor. A travel fee of 0.45p per mile will be requested for every additional mile. I'll use Google maps to calculate mileage and inform you of any travel fee before adding it to any quote or balance.
Storage All images will be kept on file and / on a storage device by ‘Eleglance Images’ for 1 year after the date of the wedding or event. After this period these files may be deleted.
Attendance In the unlikely event ‘Eleglance Images’ cannot perform this booking due to casualty, act of God, nature, terror, sickness or injury, which is by no fault of the client, then all monies paid will be refunded to the client and ‘Eleglance Images’ will not be held liable for any indirect or consequential loss.
If at any point ‘Eleglance images’ feels there may be a threat to the safety of personnel or equipment at any time while providing services at any venue ‘Eleglance Images’ reserves the right to holt services, which may result in the failure to capture requested images or footage. ‘Eleglance Images’ will not be held liable for any missing material in this circumstance.
I am extremely thankful if you decide to include a meal or tab allowance for your photographer as it is incredibly helpful to us and allows us to stay on site. You are under no obligation to cater for us but we do ask that you inform us so we can plan ahead to source food in order to eat when you eat. If we are not catered for we will most likely leave the reception venue when you and your guests are dining.
‘Eleglance Images’ may advise against having bridal or groom preparation photographs if the setting for this is an abnormally long journey from the ceremony venue e.g. more than a 30min drive. This is to ensure we have adequate time to set up at the ceremony venue correctly and avoid missing valuable shooting time. These arrangements will be discussed and agreed with you as long before the wedding day as possible. It is also your responsibility to inform ‘Eleglance Images’ of any address changes to any preparations, ceremony or reception venue at least 21 days before the wedding date.
Rules / Regulations Some venues, vicars or registrars have rules and restrictions regarding Photography and Filming. Therefore, it is your responsibility to notify those who are taking your service and co-ordinating your wedding of our attendance and confirm with us what they allow. Such regulations may restrict where we can capture images and film and place equipment. As a result, we cannot be liable for any footage we are unable to obtain or lower quality footage due to poor lighting, obstructions or noise interference that are out of our control.
In regards to drone piloting we are able to conduct these unmanned flights in most places throughout the UK. There are some venues that may have restrictions due to location to certain airfields, government property or other factors. ‘Eleglance Images’ cannot be held responsible if this prevents take off on the day. It is your responsibility to identify if your wedding venue is a no fly zone before including the aerial drone add-on. Weather can also play a part in being able to conduct a flight and therefore we cannot guarantee that we will always be able to use the drone on the day. If we are unable to fly on the day due to bad weather we may attempt to film establishing shots of your venue on a different day to include in the film for you, this is at the discretion of ‘Eleglance Images’. If no drone footage can be attained due to bad weather & you have paid to include aerial drone coverage, the fee paid for aerial drone coverage will be refunded.
Complaints Any complaints should be raised by the client in writing within 21 days of the issue arising. Any complaint should be handled directly between the client and company and not published to any third parties either privately or publicly on social media or any other platforms. Any such publication will result in an instant forfeit of any replacement/compensation. All issues will be dealt with promptly and swiftly to the best of our ability. In the unlikely event that an issue cannot be solved an alternative substitute or compensation will be provided at the discretion of the company.
Final Products All finished products will be produced to our highest quality based on what we can obtain. The film footage format we shoot in is currently a mix of 4K and HD1080p when filming weddings. We will try to incorporate your music requests where appropriate. If no requests have been made we reserve the right to use our own discretion.
We do not guarantee an exact amount of images or footage but for photography you can expect to receive 400-800 fully edited images with a full day package. Which are handpicked by the photographer and given as high quality jpeg files on USB stick. If requested ‘Eleglance Images’ will happily edit a small number of the unedited images for the client for free (5-25 images). Any images given to the client can be selected to be included in a post-production product, for example, a wedding album. All unedited images will be edited if they are included in a post-production print product and shown to the client before publishing. There is no obligation to purchase a post-production product with ‘Eleglance Images’.
In videography most feature films run between 50 - 100 minutes and most highlight films between 7-20 minutes but this depends on the type of wedding and chosen package, length of ceremony & speeches, number of guests and the opportunities we are given to film. Whilst every effort is taken, we cannot promise to capture every part of your day. We also retain artistic licence for all edits. We advise all couples to view examples of our work to familiarise themselves with our style before booking. We will do our best to incorporate any ideas or requests where possible if they are made in writing in advance of the wedding but we cannot guarantee they will be included. We are also not liable for any reduction in quality or material due to bad weather with both photography & videography.
Finished products
For single packages during non peak times my aim is to have all products completed and delivered to clients within 6-8 weeks of the wedding. During peak season for single packages (just photography or videography) the duration is likely to be 8-16 weeks. For Dual packages during non peak times my aim is to have all products completed and delivered to clients within 8-12 weeks. During busy times of year this duration may be 16+ weeks. If I expect the editing process to take longer than the times indicated above (16+ weeks) I will inform my couples of the estimated completion time. I’d like to note that to date I have never had any couple wait longer than 16weeks for their photos or film, but this maybe occur during extremely busy periods in future. Upon receiving your product you must notify us within 7 days if there are any faults or issues and we will make every reasonable attempt to correct the issue or arrange for replacements where necessary.
